Privacy Policy
What we collect, why we collect it, and the control you have over it.
Last updated October 16, 2026
Wellness in Motion respects how personal your information is, especially anything about your body and your health. This policy explains what we collect through this website and at the studio, how it is used, and how you can ask us to change or delete it.
The short version
- We collect only what we need to care for you and run the studio.
- We never sell your information, and we never share it for advertising.
- Your health intake and session notes stay confidential and are shared outside the studio only with your written permission or when the law requires it.
- You can ask to see, correct, or delete your information at any time by emailing info@wellnessinmotionspokane.com.
What we collect
Information you give us
- Booking details: your name, phone number, email address, the service and time you chose, and any note you add to the appointment.
- Health intake: the medical history, injuries, conditions, medications, allergies, pregnancy status, and areas of concern you share on intake forms or during a session.
- Session notes: what was worked on, what helped, and what to adjust next time.
- Messages: anything you send through our contact form, by email, by text, or by phone.
- Reviews and testimonials you choose to send us.
Information collected automatically
- Standard web server logs from our host, including IP address, browser type, referring page, and the time of your visit.
- Basic usage data through Google Analytics, such as which pages were viewed and for how long. This is looked at in aggregate, not to identify you.
Information from others
- Confirmation and appointment data from our online scheduling platform.
- Payment confirmations from our payment processor. We never see or store your full card number.
How we use it
We use your information to:
- Schedule, confirm, and remind you about appointments.
- Provide safe, appropriate care and adapt it to your body over time.
- Take payment and issue receipts.
- Answer your questions and follow up after a session.
- Send studio news or openings, but only if you asked for them. Every message includes a way to unsubscribe.
- Keep records required for licensing, insurance, tax, and legal purposes.
- Maintain and improve this website.
We do not use your health information to market anything to you, and we do not build advertising profiles.
Your health information
Intake forms and session notes are treated as confidential health records. They are kept separate from marketing lists, and access is limited to your therapist and anyone directly involved in your care.
We will release them outside the studio only when:
- You give written authorization, for example to a physician, chiropractor, physical therapist, or attorney.
- The law requires it, such as a valid court order, subpoena, or a mandatory report of suspected abuse or a serious safety threat.
Whether federal HIPAA rules apply depends on how a practice bills for services. Regardless of that, we hold your health information to the confidentiality standards required of licensed massage therapists in Washington State.
How long we keep it
- Health and session records: kept for the period required of licensed massage therapists in Washington, at least five years after your last visit, and longer for a minor.
- Payment and tax records: kept as long as tax and accounting rules require, usually seven years.
- Marketing contacts: kept until you unsubscribe or ask to be removed.
- Website logs: kept briefly by our host, typically a few months.
When a record is no longer needed, paper is shredded and digital files are deleted.
How we protect it
Paper intake forms are stored in a locked location at the studio. Digital records sit behind password protected, access limited accounts, and this website is served over an encrypted HTTPS connection.
No system is perfectly secure, so we cannot guarantee absolute security. Please avoid sending detailed health information through a plain email or the website contact form, and share it on your intake form or in person instead.
Your rights and choices
You may ask us at any time to:
- Give you a copy of the information we hold about you.
- Correct anything inaccurate or out of date.
- Delete your information, except records we are legally required to keep.
- Stop sending you marketing messages.
- Remove a review or testimonial you previously shared.
Email info@wellnessinmotionspokane.com or call (509) 230-4581 and we will respond within 30 days. We may need to verify your identity before releasing records. Exercising these rights never affects the care you receive.
Washington consumer health data
Washington's My Health My Data Act gives residents specific rights over consumer health data. The health information described in this policy, such as your intake answers, the conditions you tell us about, and the services you book, is collected for one reason: to provide the care you asked for and to keep the records required of a licensed practice.
Under that law you have the right to:
- Confirm whether we collect, share, or sell your consumer health data.
- Know the list of third parties it has been shared with, and how to contact them.
- Withdraw consent to its collection and sharing.
- Have it deleted, subject to the retention periods the law requires of us.
- Appeal if we decline a request.
We do not sell consumer health data, and doing so would require your separate written authorization. To make a request, email info@wellnessinmotionspokane.com. If we deny it, you may appeal by replying to our response, and you may also file a complaint with the Washington State Attorney General.
Children
This website is meant for adults and we do not knowingly collect information from children under 13 online. Minors are welcome as clients with a parent or guardian who consents to care, completes the intake, and stays present for the session. If you believe a child gave us information through this site, contact us and we will delete it.
Changes to this policy
We will update this page when our practices or the law change, and the date at the top always shows the current version. If a change meaningfully affects how your health information is handled, we will tell you directly before it takes effect.
